Who on Your Team Can Do What
Which permissions let a teammate run your newsletter, change its plan, or put a signup form on your website.
You can bring the people who help run your business onto your account and choose what each of them can change. Everyone on the team can open every Newsletter page and look around. What they can change depends on the permissions you tick for them.
The account owner can always do everything.
The permissions that matter for the Newsletter

Someone who writes and sends your newsletter only needs Newsletter. They don't need Billing unless you also want them to handle the plan and the card.
What people see without a permission
Nothing is hidden from them, but the controls won't save:
- Without Newsletter, trying to change something shows "You do not have permission to manage the newsletter."
- Without Billing, the Newsletter pages show "Ask [owner's name] to turn this on for your account" instead of the Turn on Newsletter button. On the Plan & sending tab they see that the account's billing owner can choose or change the plan.
- Without Websites, the signup form still works as a link or a code snippet, but the buttons that place it on your website (Add below my blog posts and Install saved form) aren't offered. The page says someone with website permission can install it for them.
The free trial banner and the email we send the day before a trial ends only go to the owner and people with Billing.
Giving someone access
- Click Team in the sidebar.
- Click Add someone and enter their email address. They need their own Reggio Digital login first, so if they don't have one, ask them to sign up and then add them.
- In the window that opens, tick what they can change. You can start from a preset:
- Admin ticks everything except Billing.
- Everyday ticks Websites, Email, Newsletter, Support and Projects.
- Billing contact ticks Billing only.
- Adjust any box you like, then click Save.
To change someone's access later, go back to Team and click Access next to their name. Under each person's name the page lists what they can change, or says they can look around but not change anything.
Who can hand out access
The owner, and anyone the owner has given the Team permission. Someone with Team can only hand out permissions they have themselves, so it can't be used to give out Billing without it. Nobody can change their own access or the owner's.
Good to know
- Each person has their own setup checklist on the Newsletter overview. Skipping or hiding a step for yourself doesn't change it for anyone else.
- Removing someone from your team takes effect straight away.
For your developer
If you want your own software, like a shop or a booking system, to add people to your list, the Subscriber API page under Newsletter has what a developer needs. You can also send them the public developer docs at reggiodigital.com/developers/newsletter, which don't need a login. Only the owner or someone with Billing can see the key itself.
