Adding Subscribers by Hand

Add one person to your list yourself, record how they said yes, and look after the people already on it.

Someone signed the sheet at the counter, or asked you in person to join your newsletter. You can put them on your list yourself in under a minute. This article also covers the list itself: finding people, what each status means, and taking your list with you.

Adding one person

  1. Go to Newsletter → Subscribers.
  2. Press Add subscriber.
  3. Fill in their Email. First name and Last name are optional, but a first name lets your emails greet them properly.
  4. Add any Tags you want, separated with commas (for example regulars, wine club).
  5. Under How did they opt in?, write a short note in your own words, such as "signed the sheet at the bar on March 3rd". We keep this with their record.
  6. Tick I confirm this person asked to hear from us.
  7. Press Add them.

They go on the list as Subscribed straight away. We do not send them a confirmation email, because you are the one vouching for them. They also do not get your welcome email or any follow-up emails set to start when someone joins the list, since those are for people who signed up themselves. A tag you add can still start a follow-up set to begin when someone gets that tag.

If the address is already on the list, you will see "That address is already on this list." and nothing changes.

Only add people who actually asked. The note and the tick box are there so that "where did this address come from?" always has an answer.

Finding people on your list

The Subscribers tab lists everyone, 25 to a page. You can search by name or email, and narrow the list by status, by how they joined (Signup form, Imported or Added by hand) and by tag.

What the statuses mean:

Status What it means
Subscribed On the list and receiving your emails.
Waiting to confirm Signed up but has not clicked the link in their confirmation email yet.
Unsubscribed Asked to stop, or you removed them.
Removed Rested after a long time without clicking anything.

Someone can show as Subscribed here and still not be emailed, for example when their mailbox no longer exists. Those addresses are listed with the reason on the Not being emailed tab. See Why Some People Are Not Being Emailed.

Looking at one person

Click an email address to open their details. You will see their status and How they joined, with the date. From there:

  • Resend confirmation sends their confirmation email again. It only appears while they are Waiting to confirm.
  • Unsubscribe them stops your marketing emails to that address, on every list you have. Receipts and other emails from your website are not affected.
  • Delete removes them and their consent record from this list.
  • View contact across lists opens their full profile.

One profile per person

If you run more than one list, All contacts (at the top of the Subscribers page) shows one profile per person, with their choices kept separately for each list. A profile has three tabs:

  • Lists and preferences: each list they are on, their status there, when they last clicked, and their tags. Unsubscribe and block marketing stops your marketing emails to them everywhere.
  • Consent and fields: how and when they signed up on each list, plus any of your own fields you want to fill in for them.
  • Newsletter activity: every newsletter they were sent and what happened to it.

Taking a copy of your list

Press Export on the Subscribers page. We put together a spreadsheet file of everyone on the list, with their consent details and tags, and email you a download link. The link works for 24 hours. Export keeps working even if you stop the newsletter, because your list is yours.
